The Problem
IT department operations at Bishop Alemany High School were significantly impacted at the start of each academic year. Provisioning new users required hundreds of hours to manually enter details into Active Directory, as well as create new user accounts, assign users to the correct OUs, generate random passwords, and other tasks.
Managing group memberships, for example, was challenging because it was also accomplished individually for each new user, a tedious and time-consuming process.
The IT department manually entered these user details into an Excel file and shared it with the school's administration which would then individually share the user credentials and passwords with each student and their parents via email. The school administration's process was also painstaking, noted Arjang Hosseini, director of IT.
The Solution
The Bishop Alemany High School's IT department was in dire need of a solution that could automate the institution's user life cycle management so they could eliminate the troubles of manual provisioning. Searching for a comprehensive yet affordable automated Active Directory management solution, they found ManageEngine ADManager Plus.
Using ADManager Plus' automation, Hosseini worked with the IT department to implement a streamlined user provisioning and deprovisioning process across its Active Directory and Microsoft 365 environments. His team set up user creation templates that helped standardize the process of creating new users.
The IT department also configured password management policies, and efficiently created custom templates to automate the process for the school administration to distribute emails. While creating new user accounts, IT admins can now generate random passwords based on configured password complexity. These password policy settings enable IT admins to designate the length and complexity of the password.
To overcome the challenges of manually notifying students and parents when the user accounts are created, the IT team uses notification templates. With these, the IT team can configure the format of the notification including user ID formation, password creation, and other details when sending details to newly created users and other stakeholders. Hosseini's IT team is now able to automate stale account cleanup using this automation capability.
