Backup settings
Create a new backup schedule for your Zoho WorkDrive
- Log in to RecoveryManager Plus as an administrator.
- Navigate to the Zoho WorkDrive tab > Backup Settings.
- Click the Create Backup button located in the top-right corner of the screen.
- Select the Team that you wish to back up.
- Provide a suitable name for the backup schedule in the Backup Name field.
- Choose the type of folder(s) you want to include in the backup schedule. You can select Team Folders, My Folders or both.
- On selecting My folders, you will be prompted to select the users. Click the icon, select the users whose WorkDrive data you want to backup from the popup, and click Select.
Note: Team Folders refers to the shared folder of the team, and My Folders refers to the admin's and user's personal folder. Select the desired frequency at which the schedule should run from the options available in the
Backup frequency dropdown:
- Daily: Scheduler will run once everyday at the scheduled time.
- Weekly: Scheduler will run once every week on the specified day and time.
- Monthly: Scheduler will run once a month on the specified date and time.
- From the Select repository drop-down menu, select the repository (local, NAS/shared, or in the cloud) where you wish to store the backups. To add a repository, click and follow the steps found here.
- In the Retention Period field, enter the number of days/months/years for which WorkDrive backups should be stored. Backed up data older than the specified retention period will be discarded. If you've set the retention period to 30 days, when the backup schedule runs on day 31, the backed up data whose age exceeds 30 days will be discarded. You can also configure RecoveryManager Plus to store your WorkDrive backups forever, in which case backups will not be discarded.
Note: The minimum retention period for Zoho WorkDrive backups is 30 days.
- If you wish to encrypt your backup data, check the Encrypt backup data option and provide the Encryption key.
- Click Save to save the scheduler. The backup will run at the specified time.
- Click Save & Run to save the scheduler and trigger the first backup process immediately.
- Click Cancel to exit the configuration screen without implementing any changes.
Once a schedule has been created, you can view the following information:
- The name of the schedule in the Backup Name field.
- The frequency at which the schedule will run in the Backup Frequency field.
- The selected folders and the number of folders that are backed up in this backup schedule in the Backup Selection field. Clicking on the number will open a pop-up that lists the users whose data will be backed up when the scheduler runs.
- The last time the schedule ran in the Last run time field. Clicking on the icon will open the restore tab, displaying all backups made by the scheduler. You can restore the WorkDrive data to any of the backed-up versions.
- The status (success or failure) of the last backup in the Last run status field. Clicking on the View Details link will provide the steps that the product performed and the status of each step. Finding out the step at which the schedule failed will assist in troubleshooting any issue that the product might encounter.
Once you’ve configured a backup schedule, you can perform the following actions:
- Enable or disable the backup schedule.
- Edit the backup schedule.
- Manually trigger a backup.
- Delete the backup schedule.
Enable or disable the backup schedule
- Click the / icon under the Actions column of the backup schedule that you wish to disable or enable.
Edit the backup schedule
- To edit the backup schedule, click the icon under the Actions column of the corresponding backup schedule.
Manually trigger a backup
- Click the icon under the Actions column of the backup schedule to trigger a backup.
Delete the backup schedule
- Click the icon under the Actions column of the backup schedule that you wish to delete.
- In the pop-up that appears, select if you'd like to delete just the backup schedule, or permanently delete all backup data along with the schedule. Then, click OK.
