Zoho WorkDrive license management
RecoveryManager Plus is licensed based on the number of users backed up from the WorkDrive team. When you select a Team's Folder for backup, you will require user licenses equal to the total number of users in the Team. If the required number of licenses is not available, you cannot back up the Team Folder. If you chose to back up My Folders, you'll need licenses for each user's My Folder that you intend to back up. If the same user is selected for My Folder backup and Team Folder backup, only one license will be consumed.
The license management section allows you to manage licenses and select the WorkDrive teams that you wish to backup.
When you add any team to a backup schedule, a license is automatically applied to it. This section enables you to remove licenses assigned to a team.
The screen displays the following information at the top of the table:
- Total License Count: This shows the number of licenses purchased.
- Used License Count: This shows the number of teams licensed by the product.
- Remaining Licenses Count: The number of unused licenses is shown here.
When you remove a license assigned to a team, all backups of the team will be deleted from your backup repository, and the users will be removed from any backup schedules. However, if you wish to retain the backups, follow these steps:
- Remove the Team Folder or My Folder from all the backup jobs it is a part of. This will ensure there won't be any more incremental backups.
- RecoveryManager Plus will monitor the existing backup file of the folder.
- After 31 days of inactivity, i.e., if no incremental backups of that particular folder has been performed, the license will be automatically unassigned from the folder, and the backup will be retained for future restores.
You can remove licenses assigned to a Team Folder or My Folder.
To remove licenses assigned to particular folders,
- To remove the licenses for both the Team Folders and My Folders, click the icon under the Actions column of the particular team.
- In the pop-up that appears, when you check the Unmanage My Folders check box, the licenses will be unassigned for both My Folders and Team Folders. If the checkbox is left unchecked, only the license of the Team Folders will be unassigned.
- To search for a particular team, you can also use the icon at the top of the table.
- You can view the licenses consumed by the Team Folders and the My Folders. Click on the licenses consumed by the My Folders count, you can select the users and unassign licenses for the users of the My Folders from the pop-up that appears.
