The practice of backing up Active Directory (AD) can lead to high storage costs and compliance issues if your older and unnecessary backups are not promptly deleted. Backups should only be held in the repository until they reach their backup retention period as defined by organizational standards. To fix this backup management problem, RecoveryManager Plus allows you to create a backup retention policy that automates the process of discarding older backups while also ensuring the retained backups don't impact the performance of the application. Additionally, it also enables you to meet the requirement of maintaining proper retention policies in order to comply with GDPR backup standards.

What is a backup retention policy?

A backup retention policy is an organizational or governmental mandate that outlines how long backup data should be retained. A retention policy includes many requirements, such as the type of data to be backed up, where the backup data has to be stored, the number of backup versions to be stored concurrently, the oldest possible age for backups, the indexed and archive retention time periods, and more.

How does backup retention work in RecoveryManager Plus?

RecoveryManager Plus' backup retention feature allows you to specify the maximum time for which a backup can be held in your repository. When the set retention period expires, the backups that have exceeded this period will be deleted.

To improve the performance of the product while still satisfying backup retention requirements, the product can be configured to index backups aged less than a configurable number of days and archive backups that exceed that age. Archiving a backup ensures the backup data is not loaded every time you load the application, ensuring improved performance. You can configure the indexed and archived period based on your needs. Backups that exceed the indexed period are then archived until the retention period expires, after which they are deleted.

Assume you have the following backup settings configured: the index retention is set to six months, and the archive retention is set to 24 months. In this case, if a backup exceeds the indexed retention period of six months, it will be archived for the next 18 months. After the archive retention period expires, i.e, after 24 months, the backups will be completely deleted from the product.
