How to create a public folder calendar in Exchange Online

A public folder calendar is an ideal solution for those who need a shared calendar without the need to maintain an additional mailbox.

How to create a public folder calendar in Exchange Online

  1. Sign in to the Outlook desktop client using an account with CreateItems permission to create a public folder. Check the below table for roles that have the CreateItems roles by default.

  1. Expand the folders.
  2. Create a new public folder of the "calendar" type by performing one of the following steps:
    • To create a top-level public folder calendar, right-click All Public Folders and select New Folder.
    • To create a public folder calendar under an existing folder, right-click the desired folder and select New Folder.
  3. Name the new public folder calendar and select Calendar Items from the Folder contains drop-down list.
  4. Click OK.
  5. For quicker access to the new public folder calendar, right-click the folder and select Add to Favorites. This will place the calendar under Calendars > Other Calendars for easy access.

By default, everyone in the organization has access to the public folder and can create items within it.

How to access a public folder calendar in the Outlook Web App

  1. Sign in to Outlook Web App.
  2. Right-click on Folders and select Add public folder to Favorites.
  3. Browse the directory and choose the desired public folder.
  4. Click Add Public Folders.
  5. Close the Add Public Folder menu. The calendar public folder will appear in the Calendar area of the Outlook Web App.
  6. Click the Calendar icon. You will find the public folder calendar under Other Calendars.
