Manage mail contacts in Exchange Online

The table is a comparison of how to manage mail contacts in Exchange Online using the native admin center and M365 Manager Plus.

Exchange admin center (EAC)

Steps to manage mail contacts in Exchange Online using the native admin center

To create mail contacts

  1. Log in to the EAC.
  2. Navigate to Recipients > Contacts.
  3. Click Add a mail contact.
  4. Enter the Basic information, like First name, Last name, Initials, Display name, Alias, Email, and Mail contact information.
  5. Click Review mail contact to review the entries and click Create.

To modify mail contacts

  1. Select the mail contact you want to modify from the list of contacts, on the Contacts page.
  2. You can view or edit a user's contact details under the General and Personal information section.
  3. View or edit the user's contact information, like Web site, Fax phone, Street, City, State/Province, ZIP/Postal code, and Country/Region in the Contact information section.
  4. View or edit organization information, like Title, Department, Manager, and Direct reports, in the Organization Information section.

To remove mail contacts

  1. In the EAC, click Recipients > Contacts.
  2. Select the mail contact that you want to remove and click Delete.
  3. Click Confirm.

M365 Manager Plus

Steps to manage mail contacts in Exchange Online using M365 Manager Plus

To create mail contacts

  1. Log in to M365 Manager Plus andnavigate to the Management tab > Azure Active Directory > Contact Management.
  2. Under the Contact Creation section, click Single Contact Creation or Bulk Contact Creation.
  3. Select a tenant from the Microsoft 365 Tenant drop-down menu.
  4. Fill in the necessary details in the General, Contact, and Exchange sections, and click Apply.

To modify mail contacts

  1. Under the Bulk Contact Modification section, select Contact Attribute Changes.
  2. Select a tenant from the Microsoft 365 Tenant drop-down menu.
  3. In the Select Contact(s) field, Browse for the CSV file with the changes that have to be made to the mail contacts and click Import Contact(s).
  4. Select the attributes that you wish to modify and click OK.
  5. Select the contact(s) and Apply.

To remove mail contacts

  1. Under the Bulk Contact Modification section, select Delete Contacts.
  2. Select a tenant from the Microsoft 365 Tenant drop-down menu.
  3. Search for the mail contact that you want to remove by clicking on Find.
  4. Select the contact(s) and click Apply.

Limitations of using the EAC admin center

  • Administrators need to be assigned the necessary roles and permissions to modify Exchange mailboxes and its permissions.
  • Configuring some settings and modifying them in bulk require PowerShell scripting, which can be complex for non-technical users.
  • If the mail contact has custom attributes or extensions associated with it, administrators need additional permissions.
  • Managing a large number of mail contacts can be cumbersome within the admin center, which may lead to inefficiencies in tracking mailboxes effectively.
  • While the admin center provides some automation features, it may not offer the level of automation required for complex mailbox management tasks.
