Archive use case
To better understand how you can make the most out of the Archive feature, consider the following requirements:
- The data from the File Audit - DataEngine category needs to be readily accessible for the first three months.
- After the first three months, the data will be accessed sporadically for the next three months.
- After six months, the data needs to be retained in the archive for another six months to meet compliance requirements.
During this time, the data will be accessed rarely.
- After 12 months, the data needs to be permanently deleted.
This can be achieved by following the steps below:
- Enable archiving for the File Audit - DataEngine category and click the gear icon to configure the settings based on the above requirements.
- For the audit data to be readily accessible, it needs to be in the Hot state. Therefore, set the Hot Data Retention Time to three months.
- Since the data from the File Audit category is stored in the DataEngine, it is possible to archive the data in the Cold state. Cold data occupies lesser disk space and can be instantly retrieved from the archive. This is ideal for when the data is accessed sporadically for the next three months. Therefore, click Enable to turn on the Cold state and then set the Cold Data Retention Time to three months.
- Finally, since the data will be accessible rarely for the next six months, it can be retained in the Frozen state, where it will occupy the least disk space. By default, Frozen data will be retained forever. However, since the requirement states that the Frozen data needs to be deleted after six months, uncheck the Retain Data Indefinitely check box and set the Frozen Data Retention Time to six months.
- Review the Summary and check the Agreement check box. Click Confirm Delete in the Confirmation pop-up and then click Save.
You have now configured the data from the File Audit - DataEngine category to age as per the specified requirements.
